| Message | Dear Sir/Madam,We are looking for an online registration system to support a major programme of events taking place in the summer of 2024. There will be 5 events, each with its own agenda and delegate pool (there may be some cross-over for events, but it will be very limited). We expect 25,000 registrations, with a potential initial spike of c50,000 visitors to the site.Naturally the site should be secure and meet the highest standards of cyber and data security. Any data storage or use must be GDPR compliant.The registration will need to go live for booking from April 2024 and will need to link to an onsite badging facility at the events through an API.The registration site will be in English, but we will also be required to offer some of the pages in Welsh too (we will look after the translation of any text).Our team will need to be able to build and amend the site (with your support) and be able to interrogate the back end for reports and statistics.Delegates will need to be able to enter their biographical details, and secure with a password so that they can receive their booking as necessary.The event has a large conference element, each session will have a session description and speakers, and we will need to be able to upload pictures and biographies of speakers so that that delegates can search on those, and the session information.The conference agenda needs to be laid out in an accessible and attractive format and delegates will select their own agendas, once selected they should receive email confirmation of their agenda and their details held against that session for reporting.The system must be able toallow delegates to book, amend and cancel sessions;ensure delegates cannot double book themselves on sessions running concurrently;have waiting-list functionality to address cancellations;issue electronic confirmation of individuals bookings;safely store individuals data;interact with a fast badging facility at registration; interact with scanning technology to record attendance at sessions/exhibition stands;interact with evaluation software to allow targeted evaluation of sessions;be able to cope with spikes in visitors to the site.
