The approach

No on-site staff were included — the organiser's team ran registration and printing independently, using equipment and software supplied ready to go.
Why this approach worked
Not every organiser needs a managed on-site presence. Some just need reliable hardware and software they can run themselves.
Delivering the printers, software and stock ahead of time, then collecting afterwards, meant the organiser had everything required for the day without paying for support they didn't need — while still having software and equipment that worked together as one system rather than three separate suppliers.
