The brief

A returning client booked us again, this time for a one-day event at the Javits Center in New York. Having worked with us before, they knew exactly what they wanted from the registration desk — full colour badges, printed on-site, for every one of their 500 attendees — and they wanted that same experience delivered on the other side of the Atlantic.

The approach

Rather than pre-printing badges in the UK and shipping them to New York, our team printed every badge on the day, at the moment each attendee checked in. A quick scan of the QR code from their confirmation email, and a finished, fully branded badge was in their hand within seconds.

Full colour printing meant every attendee type could have its own look — delegates, exhibitors, speakers, VIPs and press each on a distinct colour-coded badge, all printed from the same printers and the same blank stock. In a venue the size of the Javits Center, that matters. Floor staff and security could tell who was who at a glance, and nobody had to squint at a job title to work out whether someone was a speaker.

With a one-day format, most of the 500 attendees arrived in the window before the opening session. We planned the desk around that peak rather than the total — self-service check-in to keep the main flow moving, and a staffed desk for walk-ups, name changes and anything that needed a person to sort out.

Why this approach worked

For a returning client, the value isn’t in something new — it’s in getting exactly what worked before, wherever the event happens to be. Our team already knew their registration data, their badge designs and their attendees, so preparing for New York was about logistics, not starting from scratch.

Printing on-site also took the risk out of going international. There were no boxes of pre-printed badges to ship across the Atlantic, no worrying about late registrations missing the print run, and no uncollected badges left on the table at the end of the day. Every badge was accurate, up to date and printed in the venue.
