The brief

A returning client booked us again for a two-day event at the QEII Centre. Having worked with us before, they knew what a smooth registration desk looked like — and this time, lead retrieval was added to the mix, giving exhibitors a proper way to capture leads across both days.

The approach

Rather than arriving on the morning of day one, our team set up the day before doors opened. Every printer was in place, tested, and printing cleanly. Every scanner used for lead retrieval was checked for connectivity and read accuracy. The full check-in process was run through end to end, so the first real badge printed on the morning of the event was never the first test of the system.

This is something we push for with every event where it’s possible, and it’s worth explaining why. A registration desk that’s never been tested is a registration desk full of unknowns — a printer that jams on badge one, a barcode that doesn’t scan cleanly, a piece of software that hasn’t synced properly with the registration platform. None of that is what a returning client needs to worry about on the morning their attendees start arriving. Testing the day before means those unknowns get found and fixed while nobody’s watching, not while a queue is forming.

Lead retrieval ran across both days, giving exhibitors a way to capture every conversation on the stand as a proper lead — qualifying questions, notes and tags added on the spot, working offline where signal was patchy, syncing the moment it returned. Rather than exhibitors relying on business cards or memory by the end of day two, every lead was captured, sorted, and ready to export the moment the show closed.

Why this approach worked

For a returning client, the value isn’t just in getting the same reliable badge printing again — it’s in knowing that reliability is deliberate, not lucky. Setting up and testing the day before is exactly what makes that reliability repeatable, event after event.

Adding lead retrieval gave exhibitors something this event hadn’t had before: a clean, qualified lead list at the end of each day, rather than a box of business cards to sort through afterwards. For a two-day event, that meant exhibitors could follow up on day one’s leads before day two had even started.
